How To Compress Images in PowerPoint







As we often use many images in a presentation application, such as PowerPoint 2010, it can affect the size of the file, particularly if they are high-resolution images.  By compressing images, you have the option to select a different picture quality, which in turn may reduce the size of your presentation.


1. Open the presentation that contains the images you would like to compress and select one of the images.

2. On the Format tab under Picture Tools, click Compress Pictures in the Adjust group.



3. If you would like all images to be set to the same output, ensure that Apply only to this picture is deselected.  However, if these settings are only for the selected image, select this option.

4.If you choose Delete cropped areas of pictures, any images that you have manually cropped will have those areas removed.  This may not be an issue, unless you wish to include some of those cropped areas at a later stage.

5. Determine the desired resolution for the images – ppi stands for Pixels Per Inch and the higher the number, the better the image quality:


  • Print (220 ppi) – select this if the presentation is going to be printed and the images need to be of an acceptable quality when printed
  • Screen (150 ppi) – select this if the presentation is going to be viewed online or presented on a screen or projector
  • E-mail (96 ppi) – select this if the presentation needs to be distributed via email and the smallest possible file size is required
  • Use document resolution – select this if you don’t wish to make any changes to the resolution of the image.  You may decide to choose this option and select to delete cropped areas only.


6. Once you have made your selection, click OK.

7. All your images will appear the same on screen – however, your presentation file size should decrease if you chose a lower image resolution.
